Two access-control proposals can use similar readers and still produce very different software bills. One subscription covers the building; another charges per door, credential or feature. Before comparing the monthly number, ask what the license actually allows your team to do.

What determines access control software pricing?

Providers may price by doors, sites, users or subscription tier. Ask which quantity controls the charge and whether inactive users, visitor credentials or spare doors count. Check minimum commitments and how charges change when you add a location. A license that fits ten doors today may need a different tier when the office expands.

Separate essential features from paid additions

List everyday tasks first: issuing credentials, changing permissions, setting schedules and reviewing events. Then identify requirements such as mobile credentials, visitor integration, multi-site administration or extended log storage. Get each feature marked as included, optional or unavailable in the proposed tier.

Ask about administrator accounts and permission levels. If reception only manages visitors, it shouldn’t require an unrestricted account simply because the software lacks suitable roles. Compare cloud and on-premises costs over the same period

A hosted subscription may include updates or platform support, but confirm those terms. An on-premises product may have a separate support agreement, server requirements and paid upgrades. Compare the complete cost over a consistent planning period, including installation, training, integrations and ongoing administration.

What happens if we stop paying for access control software?

It depends on the product and agreement. Ask separately about door operation, remote administration, mobile credentials, stored logs and data export. Don’t accept a broad assurance that “the system keeps working” without knowing which functions remain available and for how long.

Are renewal increases and integration fees included?

They may be separate. Get renewal rules, notice periods, integration licensing and support charges in writing. Confirm whether another vendor also charges for the connection.
